The Team page

Applies to Workletto 1.x.

The Team page shows, for one week (Monday to Sunday), how many hours each person tracked, how that compares with the hours they usually work, and how much of it was billable. Only admins and managers see it: members don’t have the link, and the address shows the Time screen instead.

The Team page: the week's hours against capacity, person by person

Open Team in the main navigation. It opens on this week, on the Hours tab. The Schedule tab plans hours ahead (see Schedule), and Time off opens the Time off page.

The week’s dates are under the title. Use the arrows at the top right to move one week at a time, and This week between them to come back to the current week. The address changes with the week (/team for this week, /team/ followed by the Monday’s date for another), so you can bookmark a week.

Three numbers sit at the top, with one bar for the whole team:

  • Total hours: everyone’s time that week, including anyone you have turned off who tracked time then.
  • Capacity: the hours people usually work, added up for everyone whose account is on.
  • Billable: the billable hours, and what share of the total they are.

The bar shows billable hours (in your accent color) and the rest (gray) as parts of the capacity. If the team worked more than its capacity, the bar is full. Every bar is also written out as numbers beside it.

Below the summary is a list of people, with a Filter by name box above it that narrows the list as you type. It lists everyone whose account is on, and anyone turned off who tracked time that week (marked Turned off). Each row shows:

  • the person’s name and role (Admin, Manager or Member);
  • their hours for the week, and a bar of billable and non-billable hours against their capacity;
  • Utilization: their hours divided by their capacity, as a whole percent. It can go over 100%. If their capacity is 0, it shows a dash;
  • Capacity: the hours they usually work a week, such as “40:00”;
  • Billable: how many of their hours were billable.

A timer that is still running counts up to the moment you look, as on the Time screen.

When timesheet approvals are on, each row also has a badge for that person’s week:

  • Not submitted: they haven’t submitted it yet.
  • Waiting for approval: they submitted it.
  • Approved.
  • Sent back: a manager sent it back for changes.

With approvals off, there are no badges.

Click Timesheet on a row. The page, headed with the person’s name (“Maya Chen’s week”), is read only. It shows:

  • the week’s status, if approvals are on and the week has been submitted, with who approved or sent it back, and the note for a sent-back week;
  • their entries grouped by day, each with the project, client and task, the notes, the time and whether it was billable, and a total for each day;
  • the week’s total.

Use the arrows at the top right to move between weeks for the same person, This week between them to come back, and Team above the name to go back to the list. You can’t change anything here. To change someone’s time, ask them to; to approve or send back a week, use Approvals.

Everyone starts at 40 hours a week. An admin changes it in Manage, then People: click Edit on the person and set Hours a week (from 0 to 168; decimals such as 37.5 work). The setting is the person’s current one, so changing it changes how their earlier weeks look on this page too. Changes are recorded in History as “Weekly capacity”.
