Time off and holidays
Applies to Workletto 1.x.
The Time off page holds days off and company holidays: open it with the Time off link at the top of the Time page, or, for admins and managers, the Time off tab on the Team page. Everyone adds their own time off there; admins and managers can add anyone’s. Approved time off and holidays come off each person’s capacity on the Team page and the hours they have available on the Schedule.
Add time off
Section titled “Add time off”- Open Time off from the top of the Time page.
- Under Add time off, choose the First day and Last day. Admins and managers also choose the Person.
- Choose the Kind: Vacation, Sick or Other.
- For a single day, tick Half a day if it’s half. Add a Note if you like, up to 200 characters.
- Click Add time off. It says how many days were added, like “5 days off added.”
Weekends and company holidays in between are skipped, and so are days already off: a week from Monday to Friday is 5 days, or 4 if there’s a holiday that week. If every day is a weekend, a holiday or already off, Workletto says “Those days are already off, or they’re weekends or company holidays.”
A half day is one day only: “A half day is one day: choose the same first and last day.”
Coming up lists the time off ahead. Days in a row are shown together, like “Mon, Oct 12 – Fri, Oct 16”, with the kind and the number of days under them. Click Remove to take it away. Members see and remove only their own; admins and managers see everyone’s.
Approval
Section titled “Approval”An admin can tick Members’ time off waits for an admin or manager to approve it, under Approval at the bottom of the page.
- A member then clicks Ask for time off instead, and their days show as Waiting for approval. They don’t come off capacity until they’re approved.
- Admins and managers see them under Waiting for approval, with Approve and Decline. Declining removes them.
- Admins’ and managers’ own time off never waits.
Company holidays
Section titled “Company holidays”Admins keep the company holidays under Company holidays: choose the Date, name the Holiday, and click Add holiday. There can be one holiday a day. Remove takes one away. Everyone sees the list.
A holiday counts as a day off for everyone, and time off isn’t added on it.
How capacity changes
Section titled “How capacity changes”On the Team page, each person’s capacity for a week is their usual hours (set in Manage, People) less a fifth of them for each weekday off: a half day takes a tenth. For example, someone who usually works 40 hours, with one day of vacation and a company holiday that week, has a capacity of 24 hours. The line under their hours says how many days they’re off, like “Capacity 24:00 (2 days off)”.
Only approved time off counts, and a holiday that’s also someone’s day off counts once.
Adding, removing, approving and declining time off, the holidays and the approval setting are all kept in the history.
