Time reports
Applies to Workletto 1.x.
Reports adds up the time and expenses tracked in a period. Admins and managers see everyone’s, with money. Members see their own hours and expenses, without money (see “What members see” below). Admins and managers have two tabs, Time and Profitability, and open Time first. For what the work earns and costs, see The profitability report.
Choose the period
Section titled “Choose the period”Period starts on This month. The other choices are This week, Last week, Last month, This year, Last year and Custom dates. Weeks run Monday to Sunday. Beside the list, the first and last day of the period are shown.
With Custom dates, two date boxes, From and To, appear. Both days are included. If the start date is after the end date, Workletto says “The start date is after the end date.” and shows no results until you fix it. A report can cover up to ten years.
Filter
Section titled “Filter”Narrow the report with the lists under the period. Everything on the page follows them.
- Client: All clients, No client (projects without a client), or one client.
- Project: All projects, or one project, listed with its client’s name.
- Person: Everyone, or one person. Admins and managers only.
- Billable: Billable and non-billable, Billable only or Non-billable only. It applies to expenses too.
The totals
Section titled “The totals”- Hours: all the time in the period, in hours and minutes. Timers that are still running count up to now. When the chart shows days, it also says how many days had time.
- Billable hours: the part marked billable, and what percentage of all hours it is.
- Billable amount: billable time at its rate. Admins and managers only. The rate is the project’s hourly rate, or each person’s own if the project bills by person, as they are now: changing a rate changes the amount for past time too. See Projects.
- Expenses: the total of the expenses in the period, and how much of it is billable. See Receipts for expenses.
The chart
Section titled “The chart”Below the totals, bars show the hours over the period: the billable part in the accent color and the rest in gray. A key under the chart shows which is which and the height of the tallest bar. When the bars are days and today is in the period, a line marked Today shows where today is. Each bar is a day for a period of up to 42 days, a week for up to 210 days, and a month for longer. The chart is left out when there is no time in the period.
Screen readers get a sentence with the total and the busiest bar, and the table below has the figures.
Group the results
Section titled “Group the results”Under the chart, in Breakdown, choose how the rows are grouped: Clients, Projects, People (admins and managers) or Tasks. It starts on Projects.
The table has a row for each, the most hours first, with its Hours, Billable hours and, for admins and managers, Amount. A bar under the name shows how it compares with the biggest row. The last row, Total, adds them all up.
- Clients: time on projects without a client is listed as “No client”.
- Projects: each shows its client, and the name links to the project.
- People: one row for each person who tracked time.
- Tasks: each shows its project. Time with no task is listed as “No task” for that project.
If there is no time in the period, the table says “No time in this period.”
Export
Section titled “Export”Export CSV, at the top right, downloads every entry in the report you are looking at, with the period and filters you chose. See Export your data as CSV for the columns.
Budgets
Section titled “Budgets”Admins and managers also see Budgets (all time) under the table: every active project with a budget, how much of it is used, and a bar. The amount turns amber at 80% and red over budget. This list doesn’t follow the period or the filters. See Budget alerts.
What members see
Section titled “What members see”A member’s report covers only their own time and expenses. They have no Person filter, no People grouping, no Profitability tab, no Billable amount or Amount column and no Budgets list. They still see their hours, their billable hours, and the total of their own expenses, and they can export their own time without money.
